Privacy Policy

1. Information We Collect

Personal Information

  • Name and email address when you create an account
  • Email address when you purchase a one-off Practice Pack, even without an account
  • Payment information when you purchase a subscription or Practice Pack (handled by our payment processor, Stripe – we do not store your card details)
  • Educational preferences and exam format selections
  • A 4-digit PIN, if you choose to set one to protect the Parent Dashboard on a shared device. This is stored in a reversible encrypted form (not hashed) so it can be emailed back to you if forgotten – see Section 5

Usage Information

  • Exam responses and scores
  • Time spent on questions and sections
  • Learning patterns and progress data
  • Gamification progress – coins, XP, achievements, and streaks, and a display name/rank if you choose to appear on the leaderboard
  • Device information and IP address

2. How We Use Your Information

  • Provide personalised exam preparation recommendations
  • Track your learning progress and identify weak areas
  • Process subscription and Practice Pack payments, and deliver purchased Practice Packs by email
  • Operate optional features you choose to use, such as the referral programme and leaderboard
  • Send important account and service updates
  • Improve our educational algorithms and content
  • Understand how the site is used, with your consent, via Google Analytics – see Section 7

3. Artificial Intelligence and Automated Technologies

The Service may use artificial intelligence, machine learning, and other automated technologies to provide personalised learning experiences, study recommendations, educational support, and platform functionality, including our StudyBuddy and Parent Advisor features.

  • StudyBuddy is an AI-based chat feature. While your child is sitting an exam, it may give conversational hints on the question they are currently working on, but is not provided the correct answer, mark scheme, or explanation, and does not have access to other exam questions or open-ended conversation (it can see a summary of their accuracy on other topics, to tailor a hint). After an exam is marked, StudyBuddy's Review Wizard mode explains any wrong answers directly, since the exam is already scored by then. Parents can turn each off independently - in-exam hints and the Review Wizard chat each have their own switch - at any time from Profile Settings.
  • Parent Advisor is an AI-based chat feature that summarises a child's exam history and progress for the parent or guardian on that account.
  • To provide these features, exam questions and a limited set of performance data are processed by a third-party AI service provider (currently Google's Gemini models). This data is used to generate a response and is not used by us to train third-party AI models.
  • AI-generated content and recommendations are automated and may occasionally be inaccurate or incomplete; they are intended to support, not replace, human judgment and instruction.

4. Information Sharing

We do not sell, trade, or share your personal information with third parties except:

  • With your explicit consent
  • To process payments (with our payment processor, Stripe)
  • To send account, receipt, and Practice Pack delivery emails (with our email provider, SendGrid)
  • To protect the site from bots and abuse on sign-up and login forms (with Cloudflare Turnstile, which processes your IP address to verify you're not a bot)
  • To provide AI-based features described in Section 3 above (with our AI service providers)
  • To understand site usage, only if you consent via our cookie banner (with Google Analytics – see Section 7)
  • To comply with legal requirements
  • To protect our rights and safety

If you choose to appear on the leaderboard, other users of the Service can see your chosen display name, rank, and XP. You can opt out of appearing to others at any time while still seeing your own rank.

5. Data Security

We implement industry-standard security measures including:

  • Encrypted data transmission (SSL/TLS)
  • Secure data storage with encryption at rest
  • Regular security audits and updates
  • Access controls and authentication systems
  • An optional Parent Dashboard PIN, stored in a reversible encrypted form so a forgotten PIN can be emailed back to the account holder rather than requiring a full reset

6. Your Rights

You have the right to:

  • Access and review your personal data
  • Request correction of inaccurate information
  • Request deletion of your account and data
  • Export your exam data and progress
  • Opt-out of marketing communications
  • Change your Google Analytics consent choice at any time – see Section 7

7. Cookies and Analytics

Essential cookies

These are always on, and are required for the Service to work:

  • Keeping you signed in to your account
  • Remembering your exam preferences and in-progress exam state

Analytics cookies (optional)

We use Google Analytics to understand how the site is used, so we can improve it. This is off by default. On your first visit, a cookie banner asks whether you're happy for us to use Google Analytics; nothing is tracked until you choose "Accept". IP addresses are anonymised before being sent to Google. You can change your mind at any time using the Cookie Settings link in the site footer, which re-opens the banner so you can accept or decline again.

8. Children's Privacy

Our service is designed for students preparing for transfer exams. For users under 13, we require parental consent and limit data collection to essential educational purposes only. Our AI-based StudyBuddy feature is designed with additional safeguards for children: while an exam is in progress, it is never given the correct answer, mark scheme, or explanation, and it only discusses the single question a child is currently working on. After an exam is marked, its Review Wizard mode explains any wrong answers directly, since the exam is already scored by then. Parents can disable each independently - in-exam hints and the Review Wizard chat each have their own switch - at any time from Profile Settings. If your child uses the optional leaderboard, they can choose not to appear to other users at any time from their account, while still seeing their own progress.

9. Data Retention

We retain your data as long as your account is active. After account deletion, we may retain anonymised usage data for educational research purposes. Google Analytics data, where you have consented to it, is retained in line with Google's standard analytics data retention settings.

10. International Data Transfers

Your data may be processed in countries other than your own, including by our third-party service providers listed in Section 4. We ensure appropriate safeguards are in place to protect your information during international transfers.

11. Changes to This Policy

We may update this privacy policy periodically. We will notify you of significant changes via email or through the application.
